PROCUREMENT AND COMPLIANCE OFFICER

The Procurement and Compliance Officer is responsible for supporting the Team Leader Quality and System in ensuring the effective application of operation outcomes for procurement, purchasing, compliance and contract management requirements.

Responsibilities

  • Operates and maintains purchasing processes, including reviewing purchase requisitions, approvals and raising purchase orders, ensures fair and equitable purchasing practices are undertaken and are compliant with IBN policy requirements
  • Assists with the procurement processes including preparation of Request documents, support required for tender evaluation processes, preparation of evaluation reports and associated correspondence
  • Provides support service to IBN staff regarding the procurement of Goods & Services
  • Audit IBN’s purchasing processes and Assists with the development of procurement and purchasing policies, procedures and guidelines
  • Verify vendor accounts (including members), enter new or update existing vendor information
  • Review and reconcile purchasing ledger on a monthly basis
  • Promote the principles of project and risk management as applied to procurement projects, to identify and mitigate risks
  • Maintains the Contract Register and other compliance registers
  • Coordinate the fleet management process and recordkeeping requirements
  • Assists the team leader and the CFO with insurance matters as required
  • Provide the Finance team and auditors with relevant information and reports as requested
  • Assists with the development and review of IBN’s business continuity plan and risk management processes
  • Provide the finance team and auditors with relevant information and reports as requested
  • Assist the finance team, the team leader and the CFO in other activities as required from time to time

Essential Candidate Requirements

  • Tertiary level qualifications at a minimum level of Bachelor of Commerce/Business with a major in Accounting or Finance
  • Possession of or progress towards a relevant tertiary qualification relating to Procurement and Contract Management (desirable)
  • Experience in using an enterprise resource planning (ERP) system and reporting tools (preferably, MYOB Exo)
  • Demonstrated experience in the coordination of procurement processes
  • Sound written skills including the ability to prepare procurement and contract management documents
  • Proven ability to work as part of a team and demonstrate high-level communication and interpersonal skills within the organisation and with other external stakeholders
  • Well-developed computer skills in MS Office (Excel, Word, PowerPoint & Outlook) and experience using contracts systems
  • Ability to work cooperatively with other areas of the organisation to achieve agreed outcomes
  • Excellent time management and attention to detail
  • Highly motivated and enthusiastic, with effective relationship-building skills
  • A Current National Police Clearance
  • C class driver’s licence
