Welcome to IBN Corporation and thank you for wanting to be a part of our team.
IBN is the Trustee for the Mining Area C (MAC) Agreement between BHP Billiton Pty Ltd and the IBN Claim Group – the Yinhawangka, Banyjima and Nyiyaparli people of the Pilbara. Established in 2001, IBN is a charitable business operated for the advancement and prosperity of these communities. We provide programs and services to raise the personal, social and economic wellbeing of our members and deliver support and programs in health, education, housing, culture, enterprise development and employment. IBN’s head office is in South Hedland, Western Australia, approximately 350 kilometres north of the Mining Area C Project and we also have offices in Perth, Tom Price and Karratha.
The Opportunity
As part of the IBN Administration Casual Pool, provide administrative support through a variety of tasks across the various teams of IBN, supporting efficient operations and continuity of service to IBN Members.
This may be as the first point of contact for all visitors to the organisation and providing quality customer service or facilitating the Operations functions of IBN in collaboration with project officer, employee relations, cultural support, community engagement, as well as ICT systems and communications.
Casual staff will need to be both team oriented and can work autonomously, manage competing priorities, have sound written and verbal communications skills, and have positive interpersonal skills to influence and build relationships across various departments and for professional interactions with a broad range of people. Positions this pool cover include Member Services Officer, Operations Support Officer, Junior Accounts Clerk.
The Role
Key Responsibilities include but not limited to:
- Provide a welcoming and safe environment for clients and visitors.
- Provide phone support for inbound calls to the IBN Contact Centre.
- Administration of IBN records according to record management procedures.
- Respond to email enquires in accordance with established procedures in an efficient and courteous manner.
- Coordination of mail.
- Undertake data entry with accuracy and attention to detail.
- Provide support to the Operations team for IBN events and meeting planning.
- Undertake consumables ordering and coordination as required.
- Provide support for the preparation of reports.
- Assisting booking of flights & accommodation as required.
- Provide accurate information to internal and external stakeholders or refer enquires as necessary.
- At all times performs duties in accordance with organisational policies and standard operating procedures.
- Continuously conducts themselves in accordance with the IBN Code of Conduct, HR policies and Work Health and Safety policies.
- Other duties as directed.
The Requirements
- Highly motivated and enthusiastic, with effective communication and relationship-building skills.
- Ability to work independently and collaboratively within a team.
- Adaptable and open to learning new skills and methodologies.
- An ability to problem solve.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Good time management skills and strong focus on accuracy and attention to detail.
- Certificate III in Administration or similar, progress towards the same highly regarded.
- Experience in working with Aboriginal people and understanding Aboriginal Australian culture.
- National Police Check (no older than 6 months and renewed every 3 years.
