Purchasing Card Terms & Conditions

The IBN Member Purchasing Card has approved funds added from the Household Essentials annual budget.

The Card is guided by IBN Code of Conduct and the Terms and Conditions of use outlined below. Breaches of the Code of Conduct and the Terms and Conditions of use will result in suspension and/or cancellation of your card.

  1. The IBN Member Purchasing Card cannot be used to buy unapproved items as listed in the Community Programs Handbook, including alcohol, tobacco, gambling, and online gambling products. If you do, IBN will cancel your card.
  2. IBN Member Purchasing Cards can be returned to any IBN Office if the cardholder decides not to use the card any longer. Members can then access their funds through the existing program application process.
  3. Your IBN Member Purchasing Card should be kept secure, to help protect your funds from improper If you lose your card or your card is compromised, IBN will not replace your funds. Treat your card like valuables.
  4. IBN will monitor your IBN Member Purchasing Card, to help ensure spending patterns meet the Household Essential Community Program requirements. If inappropriate usage is discovered, the card will be cancelled.
  5. Members are not permitted to sell or allow others to use the card. If this occurs IBN will cancel the card.
  6. Lost cards should be reported as soon as possible through the card portal at ugca.au or call 1300 181 032. Replacement cards can be ordered through this portal and the cost for each new card will need to be paid by members.
  7. IBN Member Purchasing Cards will be cancelled upon notice that a member has passed away, and any funds remaining on the card will be returned to IBN.
  8. IBN Member Purchasing Card funds are not transferrable – cannot be used by anyone but you.
  9. Members who choose to use an IBN Member Purchasing Card are responsible for the security of the card pin number and must not give out card details to anyone.
  10. For members who are supported by Field Officers to access funds, the same arrangements will continue to apply, and no card will be issued. If you have any concerns, please speak to IBN’s Filed Officers.
  11. Members who choose to use an IBN Member Purchasing Card are responsible for all purchases made with the card. Purchases that do not meet the parameters outlined in the Household Essential Community Program, may result in the suspension, and/or cancellation of the card facility. Should access to a card be withdrawn, members can then access their funds through the existing program application process.

All Terms and Conditions are subject to regular review and change as we consider how this new system is working for members. Our goal is to make access so much easier for most members, however, we do need to ensure the system works for everyone and that we protect the Charitable Status of IBN for all members.
